Who this covers

This page applies to visitors to this website, people who contact us, customers and prospective customers, and people who attend our events or webinars.

What we collect and why

Contact form

your name and email, and optionally your phone, company and message, to respond to your inquiry and, where you ask for it, to arrange an assessment or proposal.

Marketing emails

your name and email, only if you opt in, to send news, event invitations and offers.

Events and webinars

registration details, to run the event and follow up with you.

Customers

business contact details, to deliver and support the services you buy.

We do not use your information for any other purpose without asking you first.

Consent

By sending the contact form, you agree to us using your details to respond. Marketing emails are separate and optional: we send them only if you tick the marketing box. You can withdraw either consent at any time by contacting us, and we will tell you if withdrawing affects our ability to help you.

Marketing emails (CASL)

Every marketing email we send identifies XenTegra Canada, includes our mailing address and contact details, and has an unsubscribe link. We act on unsubscribe requests within 10 business days. We keep a record of when and how you gave consent.

Who we share it with

We never sell or rent your personal information. We share it only with:

• Service providers that host our customer records, website and video on our behalf, under contracts that limit how they may use your information.
• XenTegra group companies, where colleagues outside Canada help respond to your inquiry or deliver a service.
• Technology vendors, only where needed to prepare a quote or register an opportunity you have asked us to pursue.
• Authorities, where the law requires it.

Where it is stored

Some of our service providers and group companies are located outside Canada, including in the United States and India. Your information may be processed there and may be accessible to courts and authorities under the laws of those countries. We require our providers to protect it to a standard comparable to Canadian law.

How long we keep it

We keep inquiry details for 24 months after our last contact, customer records for as long as you are a customer plus 7 years, and marketing consent records for as long as you are subscribed plus 3 years. After that we delete or anonymize them.

How we protect it

Submissions travel over an encrypted connection, and access is limited to staff who need it. If a breach creates a real risk of significant harm, we will notify you and the Office of the Privacy Commissioner of Canada.

Your rights

You may ask to see, correct or delete your information, or withdraw consent, at any time. We respond to verified requests within 30 days. If you live in Quebec, you may also ask for a copy of your information in a commonly used format.

Privacy Officer

XenTegra Canada has designated a Privacy Officer accountable for our compliance with PIPEDA. If you are not satisfied with our response, you may contact the Office of the Privacy Commissioner of Canada or your provincial privacy commissioner.

Cookies & analytics

This site sets no advertising or tracking cookies. We use cookieless analytics to count page views and referrers; it does not follow you across other websites or build a profile of you. Our video player collects playback-performance data (such as buffering and resolution) to deliver video reliably, without cookies. Our hosting providers keep standard technical logs, such as IP address and browser type, to deliver the site securely.

Accessibility (AODA)

We aim to meet the Web Content Accessibility Guidelines (WCAG) 2.0 Level AA, the standard set by Ontario's Integrated Accessibility Standards Regulation under the AODA. If any part of this site is hard to use with your assistive technology, tell us through our contact form or call +1 855 XEN TEAM (936 8326). We will provide the information in another format and fix the barrier.
